Referring Agency User Manual
 
Overview
 
As a Referring Agency user, you sign in through the public login and work in agency view. This gives access to agency-relevant event availability and booking options.
 
How to sign in
 
1. Open the public Log in link in the site header.
2. Enter your account credentials.
3. After login, you are returned to the public events calendar in agency mode.
 
Main features available to Referring Agency users
 
- Agency-mode access to the public events calendar.
- Ability to open event details and continue into booking/checkout flows.
- Visibility of agency-eligible ticket options (where configured).
- Standard logout from agency view.
 
How to use the site as a Referring Agency user
 
1) Browse events
 
1. Sign in from the public header Log in link.
2. Go to the Events Calendar section.
3. Filter/select events by date and provider as needed.
 
2) View event details
 
1. Open an event from the calendar.
2. Review event details, timing, and available ticket options.
3. Continue to booking when suitable tickets are available.

 

3) Complete booking/checkout
 
1. Choose ticket quantity.
2. Enter attendee and checkout details.
3. Submit booking and keep confirmation details.

 

4) Log out
 
1. Use the header logout link to exit agency mode.
 
Important behavior to know
 
- You only see bookable options that are currently valid for audience and sale-window rules.
- Events/tickets not currently available for public/agency sale are hidden until their configured release time.
 
Troubleshooting
 
- Sign-in successful but no agency behavior: verify your user has the Referring Agency role and approval status.
- Missing expected ticket type: check ticket audience, active status, and sale window timing.
- Checkout not available: the ticket may be outside its sale window or no eligible tickets remain.

 

Provider User Manual
 
Overview
 
As a Provider user, you can manage your own services, events, customer communications, and external booking widgets from the dashboard area.

How to sign in
 
1. Open the admin sign-in page given to you by the admin.
2. Enter your account email and password.
3. After login, use the left menu under the Provider section.
 
Main features available to Providers
 
- My Information: Edit your own provider profile details.
- Events: Create and edit events.
- Locations: Manage your venues.
- Documents: Manage document templates used by your service.
- Widgets: Create and manage booking widgets for external websites.
- Payments: View payment activity for your provider events.
- Users & Roles: Access user/role tools available to provider users.
- Stripe Settings: Connect and manage provider billing setup.
- Email: Configure provider booking email settings.
 
How to use each feature

1) My Information
 
1. Go to Provider -> My Information.
2. Update your profile fields.
3. Save changes.

2) Events
 
1. Go to Provider -> Events.
2. Select Add Event to create a new event.
3. Complete event details (title, date/time, location, description, tickets).
4. Save the event.

Notes:
- Provider-created events follow the draft workflow and may require admin approval before public visibility.
- Edit existing events from the Events list.

3) Locations
 
1. Go to Provider -> Locations.
2. Add a new location or edit an existing one.
3. Save and reuse locations when creating events.

4) Documents
 
1. Go to Provider -> Documents.
2. Create or edit templates.
3. Use templates in your referral/event workflows where configured.

5) Widgets (External Book Button and Embeds)
 
1. Go to Provider -> Widgets.
2. Select New Widget.
3. Choose widget type (for example Booking Overlay Button).
4. Select the target provider/event as prompted.
5. Configure button options if using overlay (label, size, shape, colors).
6. Save and copy the generated embed snippet.
7. Paste the snippet into your external site (or WordPress code/snippet area).

Tips:
- Set allowed domains correctly so widgets only run on approved sites.
- Test both the button and booking modal on the live page where the snippet is installed.

6) Payments
 
1. Go to Provider -> Payments.
2. Filter by event/date/status as needed.
3. Review order/payment status and actions available to provider users.

7) Stripe Settings
 
1. Go to Provider -> Stripe Settings.
2. Start or resume onboarding if not connected.
3. Confirm account connection status.

8) Email Settings
 
1. Go to Provider -> Email.
2. Set booking notification address and relevant template settings.
3. Save and test where available.

Good practice for Providers
 
- Keep event details complete before submitting drafts.
- Verify ticket sale windows to control when bookings become available.
- Re-test widgets whenever event, ticket, or visibility settings change.
- Periodically review payments and cancellation activity.

Troubleshooting
 
- Cannot see menu items: confirm your account has Provider role.
- Event not visible publicly: check status, publish/approval state, and ticket sale windows.
- Widget shows no events: verify widget is active, domain is allowed, and qualifying tickets are currently public/on sale.
Client User Manual

 

Overview
 
As a Client user, you can create an account, sign in, manage your profile, track wellbeing tools, and view/manage your bookings.

 

Getting started

 

Register an account
 
1. Go to Main Menu.
2. Choose Self Referral.
3. Complete your details and create your password.
4. Verify your email if prompted.

 

Sign in
 
1. Open the public Log in page.
2. Enter email and password.
3. You are taken to your user dashboard.
 
Main features available to Clients
 
- Dashboard home with account summary.
- My Information: update personal/contact details.
- My Wellbeing: complete wellbeing survey, track history, and export CSV.
- Five Steps wellbeing tracking and goals.
- Wellbeing resources.
- My Bookings: review current and past bookings.
- Cancellation request submission for eligible bookings.

 

How to use each feature

 

1) My Information
 
1. Open My Information from the dashboard.
2. Update name/contact fields.
3. Save changes.

 

2) My Wellbeing
 
1. Open My Wellbeing.
2. Complete the survey and submit.
3. Review historical entries and trends.
4. Export your wellbeing entries as CSV when needed.

 

3) Five Steps and wellbeing resources
 
1. Open wellbeing sections from the menu.
2. Submit check-ins and goals.
3. Review suggested wellbeing resources.

 

4) My Bookings
 
1. Open My Bookings.
2. Review event title, booking status, and dates.
3. For eligible bookings, submit a cancellation request with reason.

 

Booking from the public site
 
1. Browse events from the public Events Calendar.
2. Open an event and select available tickets.
3. Complete checkout.
4. Return to My Bookings to track status.

 

Important behavior to know
 
- Only registered clients get advance 'pre-sale' access to events.
- Agency-only ticket options are hidden from standard client view.
- Recommended events will appear only if you track your wellbeing on My Blue Space.
 

 

Troubleshooting
 
- Cannot sign in: verify email/password and complete email verification if required.
- No bookings visible: confirm booking email/account matches your signed-in user.
- Cancellation button missing: booking may not be eligible for cancellation request based on current status.

Our relationship with water is built into our DNA and, with the office-based, ‘dry-land’ lives we now live, that connection we once had to the sea, rivers and lochs has taken its toll. Our mission is to reconnect people with blue spaces, to build resilience and mental focus.

You can be referred through a community link worker to our activity programme in 2026 where we will work with you to find your best blue space, whether it is on the beach, by the river, on a paddle board or journeying along the coast in a kayak. Our sessions are FREE once you are accepted on to our programme.
